1. What is the Event Feature

This feature is designed to manage and operate recruitment events such as company briefings and casual interviews.
It centralizes everything from accepting applications for events to managing participants on the day, helping to improve the efficiency of recruitment activities.

The event feature is provided as a standard feature from the Growth plan and above.
If you are using other plans, an upgrade will be required.
If you wish to upgrade, please contact us via the Contact Form.

 

2. What is the Public Event Page

This is the page where candidates can view event information and apply.
It consists of the following three parts.
 

2.1. Event List on the Recruitment Site

On the recruitment site’s job listings page, event cards are displayed in an "Events" section. Clicking on a card will take you to the 2.2. Event Overview Page.

Conditions for Display

Only events that meet all of the following conditions will be displayed.

  • “Publish this event” is ON
  • “Display this event on the recruitment site” is ON
  • Event status is Active (not archived)
  • The event period has not passed

Displayed Items

  • Cover image
  • Event name
  • Date and time
  • Location
  • Brief description
     

2.2. Event Overview Page

This page publishes detailed information about the event (date and time, location, description, reservation slots, company information, etc.).
Even events not listed on the recruitment site can be accessed directly if you know the public URL.
 

2.3. Registration Form Page

This is the form where candidates select the reservation slot they want to attend, enter their information, and apply.
Reservation slots that have reached capacity cannot be selected, while slots with no set capacity are always selectable.

 

3. Process After a Candidate Applies

When a candidate applies from the public event page, the system automatically performs the following actions.
 

3.1. Registration and Update of Participant Data

Based on the "Name" and "Email Address" entered in the application form, participant registration is carried out according to the following rules.

  • For new candidates: They are registered as a new candidate, and their status for this event is set to "Participating".
    ※ If the event’s participation is set to "Invitees only" and someone other than an invitee applies, an error will occur.
  • For existing candidates: The system automatically links to existing data, and their status for this event is set to "Participating".
    ※ Existing candidate information (name, contact details, etc.) will not be overwritten.

3.2. Automatic Sending of Application Completion Email

An application completion email is automatically sent to the candidate using the email template set when creating the event.
※ If the setting "Attach calendar invitation?" is ON, a file allowing the candidate to add the event to their calendar (Google Calendar, etc.) will be attached.

3.3. Recording to the Timeline

All information entered in the application form is recorded in the candidate’s timeline.
Note that when a new candidate applies for an event, they will not appear on the candidate list screen until they are added to a job.
You will be able to view the timeline and detailed information after adding the candidate to a job.

3.4. Notification to the Event Creator

If there are new participants, notifications are sent to the event creator every hour.
Notification settings can be configured from the bottom left of the top page (where the company name, full name, and icon are grouped) > [Personal Settings] > [Notifications].

4. About Application Status and Attendance Management on the Day

The event feature manages candidate status using the following technical terms.

Participation Status (Display in Hire: RSVP)
Indicates the candidate’s application status and intention to participate.
There are four states: "Added / Not Invited," "Invited," "Participating," and "Not Participating." 

Check-In
This refers to "Reception and Attendance Confirmation" on the day of the event.
Candidates who attend are recorded as "Checked In."
