1. Managing Events
Click [Events] to view a list of all created events.
1.1. Filtering with Filters
Click [Filter] at the top left of the event list screen to filter events by status, event period, and more.

| Location | Select the location where the event is held (Workplace). |

1.2. About Sorting
Click [Sort] at the top left of the event list screen to select sorting options and toggle ascending/descending order.

1.3. Copying / Archiving / Deleting Events
1) Go to [Events] > click [••] on the right side of the relevant event to perform actions.
- Copy: Create a new event by inheriting the original information.
※ Participant data and publication settings are not copied. - Archive: The event will be hidden from the recruitment site and new applications will be stopped.
※ Participant information is retained. - Delete: Permanently delete the event.
- Only events with no attendees or archived events can be deleted.
Note
Deleting an event will also delete participant data. (Candidate data will remain.) This action cannot be undone, so please be careful.
2. Managing Participants
Click [Events] > click the relevant event row to display the participant list screen for that event.
2.1. Filtering with Shortcut Buttons
You can filter participants with one click using the shortcut buttons at the top of the screen.

2.2. Filtering with Filters
You can filter participants by reserved slots, participation status, and more.

2.3. About Sorting
Click [↓] at the top right of the participant list screen to select sorting options and toggle ascending/descending order.

3. Manually Adding Candidates to Events
You can directly add candidates registered in Wantedly Hire as participants to events.
1) Go to [Events] > click the relevant event
2) Click [+ Add Participants] at the top right of the screen > set the following
- Reserved Slot: Select the reserved slot to assign the candidate to
- Candidate: Select the candidate(s) to add (multiple selections allowed)
- Send Invitation Email: Check this box if you want to send an invitation email
※ Checking this will add the participant with the status "Invited"
3-1) (If not sending an invitation email) Click [Add]
3-2) (If sending an invitation email) Click [Go to Email Creation Screen] and set the following
- Template: Select a template if you want to use one
- Subject: Enter the email subject
- Message: Enter the email body
3-2-1) (If not scheduling sending) Click [Send]
3-2-2) (If scheduling sending) Click [∨] next to the [Send] button
- Click [Tomorrow 9:00 AM], [Monday 9:00 AM], or [Custom Time]
- Clicking [Tomorrow 9:00 AM] or [Monday 9:00 AM] immediately schedules the email to be sent.
- If you click [Custom Time], select the desired [Date] and [Time] for sending, then click [Set Sending Date and Time] to schedule the email.
Note
All selected candidates must have registered email addresses.
If any candidate lacks an email address, an error will occur and the entire addition process will be canceled.
4. Managing Participation Status and Attendance
4.1. Participation Status (RSVP)
You can change the participation status from the dropdown in the "RSVP" column in the participant list of the relevant event under [Events].

| Invited | Invitation email has been sent. |
| Attending | Participation is confirmed. (One reserved slot is deducted.) |
| Not Attending | Candidate has indicated they will not attend. |
※ If you change the status from "Attending" to another status (such as Not Attending or Invited), the reserved slot availability will increase by one.
4.2. Attendance (Check-in)
You can change attendance status in the "Checked In" column of the participant list under the relevant event in [Events].
Click [Yes] to record the operation date and time as attendance on the event day. To cancel, click [No].
※ About linkage between participation status and attendance
- If attendance is set to [Yes]: Participants whose status was other than "Attending" will automatically change to "Attending".
- If participation status is changed from "Attending" to another status: Participants who were marked as [Yes] for attendance will automatically revert to [No].
4.3. Frequently Asked Questions
Q. How should I differentiate between "Attending" in Participation Status and Attendance?
A. Use Participation Status for "planned attendance before the event" and Attendance for "actual attendance on the event day." Recording attendance on the day allows you to easily filter those who actually attended after the event.
This makes follow-up actions, such as bulk sending thank-you emails or bulk updating to specific selection steps, much smoother.
5. Performing Bulk Actions on Multiple Participants
You can select multiple candidates using the checkboxes on the left side of the participant list and perform the following bulk actions.
5.1. Adding Jobs
Bulk change selected participants to existing jobs and selection steps.
1) Click [Add Jobs] and set the following
- Job Name*: Select the existing job to which you want to add participants.
- Step*: Select the first selection step in the job to add to.
- Application Route*: Select the application route for participants.
※ By default, the application route specified in the event settings is selected. - Credit Recipient: Select the referrer if applicable (e.g., referral, agent). Leave blank if not applicable.
- Application Date: Select the date to record as the application date for the job. If not set, the current date will be used.
2) Click [Add]
5.2. Email
Send bulk emails to selected participants.
1) Click [Email] and set the following
- Template: Select a template if you want to use one
- Subject: Enter the email subject
- Message: Enter the email body
2-1) (If not scheduling sending) Click [Send]
2-2) (If scheduling sending) Click [∨] next to the [Send] button
- Click [Tomorrow 9:00 AM], [Monday 9:00 AM], or [Custom Time]
- Clicking [Tomorrow 9:00 AM] or [Monday 9:00 AM] immediately schedules the email to be sent.
- If you click [Custom Time], select the desired [Date] and [Time] for sending, then click [Set Sending Date and Time] to schedule the email.
You can use "email variables" in the subject and body, which will automatically convert to actual information about the candidate or event when sending.

5.3. Removing from Event
Completely remove selected participants from the event (this action cannot be undone, so please be careful).
5.4. Changing RSVP
Bulk change the participation status of selected participants.
