1. Account Types and Permissions

In Wantedly Hire, you can set access permissions globally as well as detailed permissions for individual jobs based on a user's role. Admins should assign roles based on each member’s responsibilities to ensure they have appropriate access.

 

2. Global Permissions

Global Permissions determine access rights for the entire system. There are three types of permissions: Organization Admin, Extended Access, and Limited Access.

 

Organization Admin
Grants full access to all features, jobs, and candidate information.


Extended Access
Grants access for detailed access settings per job.
 

Limited Access
Limited Access is designed for interviewers and referrers. Members with this permission can join interviews for assigned candidates but do not have access to most recruitment features

 

3. Permissions per Job (Extended Access Users Only)

For users with "Extended Access" Global Permissions, you can set how much access users have to specific Groups or Jobs. Please note that users will not be able to view or access any jobs that do not match their "Group Permissions" or "Job Permissions."

3.1. Available Permissions

The following three permission levels are available within Group and Job permissions:

Permission 
Job AdministratorFor users in charge of hiring operations. Can manage settings for assigned jobs, manage candidate profiles linked to those jobs, etc.
Job MemberFor users in charge of coordination tasks, such as scheduling and communications. Can communicate with candidates and view/edit interview notes.
No AccessUser cannot access the job or any linked candidate information.

3.2. How To Grant Permissions

Group permissions

Group permissions allow you to grant permissions for multiple jobs at once by specifying conditions such as "Department," "Location," and "Experience Level."

  • If you set "Department" as a condition, the permission applies to the specified department/team and all of its sub-teams.

4. Priority Rules (Handling Overlapping Permissions)

If multiple permissions are set for the same job through both "Group Permissions" and "Job Permissions," the final permission is determined by the following rules:

"No Access" Takes Top Precedence

The "No Access" setting will always take precedence over any other permission settings. Even if a stronger permission is granted via another setting, if "No Access" is set to a user, they will not be able to access content.

The Strongest Permission Wins (Except for "No Access")

If settings other than "No Access" overlap, the strongest permission level is applied.
Similarly, for Private Content, if "No Access" and "Access Allowed" overlap, "Access Allowed" will take precedence.

5. Operations Based on Permissions

For authority separate from job access such as the ability to edit email templates, the system adopts the strongest permission among all "Group Permissions" and "Job Permissions" assigned to that user.

6. About "Access to Private Content" Settings

When turned ON, this permission grants access to sensitive content such as salary information, internal comments on candidates, and email logs. While "Access Allowed" is prioritized in permission settings, if the job itself is set to "No Access," the user cannot view private content for that job.

7. About "Hide and View Private Candidates" Settings

When turned ON, the user can perform the following actions:

  • Set a candidate's status to "Private" (Hidden)
  • View candidate information that has been set to "Private"

8. [Link to a Specific Candidate] Setting

When a candidate is hired and registered as a user on Wantedly Hire, linking their member and candidate profiles ensures that the individual cannot access their previous information as a candidate.
